Candidate Privacy Notice
Who we are
Bard Studio (Bard Group Ltd, company number 13801069, registered at 68 Great Portland St, 1st Floor, London W1W 7NG) is the data controller for your application. For any questions about your data, contact hello@bard.studio.
What we collect
We collect the information you give us when you apply: your CV, contact details, and anything else you choose to include. Please do not include sensitive information such as health details, religion, ethnicity or a photo. We do not need it to assess your application.
Why we use it
We use your information to assess your application for the role you applied for, to contact you about it, and to manage our recruitment process. Our lawful basis is taking steps at your request before entering into a contract with you, and our legitimate interest in recruiting suitable people efficiently.
Automated assessment of your CV
To help us handle applications efficiently, your CV goes through an automated check that compares it with the skills and experience the role requires, and groups it with similar applications.
- Before the check, we remove your name, contact details, links, photos and referee details from your CV and replace them with a reference number. The automated check is carried out on this de-identified version.
- The check helps us organise applications. It does not make decisions. A member of our team reviews applications and makes every decision about who progresses.
- You can ask for your application to be reviewed without the automated check, or ask for an explanation of how it was assessed, by contacting hello@bard.studio.
Who we share it with
Your information is only seen by people involved in recruitment at Bard Studio. We use trusted service providers to host our systems and to run the automated assessment. They process data only on our instructions, under contracts that protect your data, and do not use it for their own purposes, including training AI models. Where a provider is located outside the UK, we make sure appropriate legal safeguards are in place.
How long we keep it
- We delete applications and CVs automatically 6 months after the date you apply.
- If you opt in to our talent pool, we keep your details for 12 months so we can contact you about future roles. You can ask to be removed at any time.
- If you are offered and accept a role, your application becomes part of your employee record.
Your rights
You have the right to:
- access a copy of your data
- have it corrected or deleted
- object to how we use it, including the automated assessment
- complain to the Information Commissioner's Office (ico.org.uk) if you are unhappy with how we handle your data
To exercise any of these rights, contact hello@bard.studio. We will respond within one month.
Application Terms
By submitting an application, you confirm that:
- The information in your application is accurate and your own.
- You have read the Candidate Privacy Notice above, and you understand that your CV, with personal details removed, will go through an automated assessment to help us organise applications.
- You understand that submitting an application does not guarantee an interview or a job offer.
- You will not include sensitive personal information or other people's personal details (except referees, if requested) in your CV.
